North Shore Strategies is seeking a dedicated and experienced Office Manager to keep our Manhattan headquarters running smoothly, support day-to-day operations, and serve as a trusted partner to leadership and staff. The ideal candidate is highly organized, systems-minded, and comfortable juggling facilities, HR/admin, light finance, and vendor coordination in a fast-moving consulting environment.
About the Role
As Office Manager you will be the backbone of our in-office operations and internal processes. Reporting to the President, you’ll own office logistics and vendor relationships, streamline workflows, maintain accurate records, and ensure staff have the tools and information they need. This is an in-person role based at our Manhattan office (with limited flexibility for occasional remote tasks). Some evening or weekend availability may be required during busy periods.
Primary Responsibilities
- Partner with the President to ensure office operations, staff support, and internal procedures run smoothly.
- Manage mail correspondence, office supplies, equipment, space usage, and vendor relationships.
- Support HR functions including onboarding/offboarding, maintaining staff records, timesheet collection, compliance reminders, and training coordination.
- Assist with finance tasks such as processing invoices, reimbursements, and receipts; track budgets and maintain compliance documents.
- Maintain digital and physical filing systems; oversee data hygiene and archiving standards.
- Draft and update SOPs, internal communications, agendas, and meeting notes.
- Provide executive support including calendar management, meeting prep, and occasional travel coordination.
- Contribute to business development by maintaining materials, logging leads, supporting proposals/RFPs, and conducting research on prospects and vendors.
Qualifications
- 3+ years of office management, operations, or administrative experience in a professional services, political, nonprofit, or startup environment.
- Proven strength in building and improving processes; ability to create checklists, SOPs, and dashboards.
- Tech-savvy with Google Workspace, Microsoft Office, and one or more of: Slack/Teams, Asana/Trello, QuickBooks (or similar), Gusto/ADP (or similar HRIS), and a basic CRM.
- Comfortable handling receipts, invoices, and expense tracking with a high degree of accuracy.
- Excellent written and verbal communication; professional judgment and discretion with sensitive information.
- Highly organized, proactive, and resourceful; able to manage multiple priorities and deadlines.
- Ability to lift up to 25 lbs and make local errands (courier, office supply runs) as needed.
